Removing Members

Overview

When a member leaves your flying club — whether they move away, switch clubs, or simply stop flying — revoking their system access promptly is an important part of responsible club management. An inactive account with booking permissions is a loose end: it can create phantom reservations, receive reminder emails at an old address, or cause confusion if the email address is later reused by someone else.

At the same time, removing a member does not mean erasing their history. Centerline uses a "soft" offboarding model: a retired member's account remains in the database, preserving all of their past reservations, squawk reports, and activity logs. This is important for your records. If a question arises about who flew an aircraft before a maintenance event, or whether a member was current when they made a particular reservation, that historical data is intact and searchable. The person simply no longer has active access to your organization.

This approach — revoking access while preserving records — gives club administrators a safe way to offboard members without the risk of accidentally deleting information that may be needed later for insurance purposes, maintenance records, or dispute resolution.

Required Role

You must have either the Account Owner or User Management role to remove members.

Steps to Remove a Member

  1. Navigate to Members — Click Members in the navigation bar.
  2. Click on the member — Click their name or the Edit (pencil) button to open their profile.
  3. Scroll to the Aircraft & Roles section.
  4. Uncheck all roles — Remove every role assignment. This revokes all administrative and booking access.
  5. Uncheck all aircraft — Remove all aircraft permissions so they can no longer book flights.
  6. Click Save — The member is now retired. They will no longer appear in the default member list, and their access is revoked immediately.

What Happens When a Member Is Retired

Once a member has no roles and no aircraft permissions:

  • They cannot access your organization. If they log in to Centerline, your organization will not appear in their account.
  • They are hidden from the default member list. They no longer appear unless an administrator checks Show Retired Members.
  • Their existing reservations remain in the schedule as a historical record, but they cannot create new ones.
  • All past activity is preserved — reservations, squawk reports, and any other records they created remain intact and attributed to their account.

Reactivating a Member

If a retired member returns to the club — perhaps they were away for a season and are now rejoining — reactivation is straightforward:

  1. On the Members page, check Show Retired Members to make retired accounts visible.
  2. Find the member in the list and click their name or Edit.
  3. Assign roles and aircraft permissions appropriate for their return.
  4. Click Save — their access is restored immediately.

Because the account was never deleted, their profile information, certificates, and history carry over automatically. There is no need to re-invite them through the invitation flow.

Restrictions

  • You cannot remove the last Account Owner. Centerline prevents this to ensure the organization always has at least one administrator.
  • You cannot remove yourself. Another admin must perform this action to prevent accidental lockouts.
  • Future reservations are not automatically canceled. Before removing a member, check whether they have any upcoming reservations and cancel or reassign them manually. Leaving active future reservations under a retired member's account can cause confusion on the schedule.

Tips

  • Cancel any pending or future reservations before removing a member. This keeps the schedule clean and avoids blocked time slots that no one will actually use.
  • If a member is temporarily grounded — for example, their medical has lapsed — consider removing only their aircraft permissions rather than retiring them entirely. They can remain in the member list with their roles intact and regain aircraft access once they are current again.
  • Retiring a member is reversible. If you removed someone by mistake, use the Show Retired Members toggle to find them and restore their access.
  • Members are never hard-deleted from the database, so there is no risk of permanent data loss from this action.
