Scheduling & Reservations

A shared calendar with conflict checks run on the server rather than in the browser, a self-running backup waitlist, and instructor scheduling built in.

  • Color-coded shared calendar

    Month, week, and day calendar views where active reservations show in cyan, backups in orange, maintenance in red, and the viewer's own reservations in green.

  • Conflict Checks

    Every create and edit re-checks the requested window against existing reservations and maintenance on the server. An overlap does not silently succeed: the booking is accepted as a backup instead of as an active reservation. The calendar itself live-refreshes for everyone when reservations change.

  • Aircraft filtering

    Filter the calendar down to a single tail.

  • Backup reservations

    Book a slot that's already taken; the reservation is marked as a backup and shown in orange.

  • Automatic promotion

    When the conflict clears (a cancellation, an early return, maintenance lifted), the backup is promoted to active automatically, checked once a day and again whenever a booking changes. The member is told the moment it happens, in the app, by email with a calendar invite, and by text.

  • Assign a CFI to any reservation

    An instructor dropdown on the create/edit reservation form, with a graduation-cap badge on calendar tiles. The assigned CFI is notified on create, update, and cancel, in the app, by email with a calendar invite, and by text, worded for the instructor rather than the pilot.

  • Finish a flight early

    The Finish Flight button on the current-flight card closes the reservation at the next quarter hour, releases the aircraft for the rest of the booking, and triggers backup promotion. Available up to an hour past the scheduled end.

  • Smart back-early notifications

    When a pilot finishes more than an hour early, only the next pilot scheduled on that aircraft within the next 24 hours is notified, not the whole club, and not if that pilot has muted early-return alerts for the tail.

  • Scheduling rules

    Optional per-organization limits on maximum reservations per member, maximum hours per member, and maximum reservation length, set on the Setup → Rules tab. Booking admins are exempt.

  • Per-aircraft booking permissions

    Permissions restrict which members can book which tails, settable at invitation time too.

  • No-show tracking

    A reservation whose end time passes without the flight being finished in the app is flagged on the calendar and counted in the Unfinished / Overdue Flights report. The flag is cleared if the member finishes the flight later.

  • Cancellation reasons

    A cancellation reason is captured and delivered in the cancellation notice.

  • Social Flights

    A 'promote this flight to fellow members' checkbox; shared flights appear in a dashboard card with pilot, aircraft, time, and destination.

  • 24-hour flight reminders

    One daily run sends email and SMS reminders for every active reservation starting in the next 24 hours. Backups are not reminded.

  • Overdue flight reminders

    A scheduled follow-up notification when a flight passes its end time unfinished, with a direct dashboard link.

Flight Logs & Time Tracking

A finish-flight workflow, gap detection, and rule-based suggested fixes that keep every log entry, and every meter reading, provably correct.

  • Finish a flight in the app

    The in-progress flight appears on both the dashboard and Flight Logs with a Finish Flight button, and stays there for 1.5 hours past the scheduled end. Finishing records hobbs and tach start and end, fuel added, oil added, and comments, plus a cost summary when billing is on.

  • Fuel receipt capture

    A camera or photo picker for off-field fuel in the finish-flight dialog, and on manual billing entries too. The upload is handled by Centerline's own server rather than the browser, and a receipt can only be opened afterwards through a link that expires, never a public one. Receipts are linked from the admin billing view.

  • Gap detection

    Missing entries between recorded flights surface as explicit gap rows showing the missing hobbs and tach range and the calculated time. The plus button on a gap row pre-fills the date, time, and meter values into a new entry.

  • Rule-based suggested fixes

    Every row is checked against the one before it (zero end-tach, tach above hobbs, a start below the previous end), and the correct value is back-computed from that aircraft's own typical tach/hobbs ratio, the median across every clean flight it has logged, with at least three samples required, then offered as a one-click fix. When one upstream typo produces a wall of downstream warnings, the cascade is traced back to the row that is actually broken. Deterministic math, not AI.

  • Per-aircraft history, filterable by pilot

    One aircraft's full flight history with automatic hour calculation and running totals, filterable down to a single pilot. (Pilot activity across the whole fleet is the Member Activity report, not this screen.)

  • Maintenance flight flag

    Flights marked as maintenance are excluded from billing; a flagged flight never generates a charge, however it is finished.

  • Billed-log locking

    Once a billing entry exists for a log, members cannot edit, delete, or re-finish it; every path is checked on the server, not in the browser.

  • CSV export of logs

    One aircraft's logs export to CSV with the correct columns for that aircraft's configuration: a tach-only tail exports no Hobbs columns.

Maintenance & Squawks

Photo-documented squawks with a required resolution, grounding status the whole club can see, and due-date and tach-based maintenance schedules.

    Multiple photo attachments per squawk, each with filename, size, and type recorded.

  • Recommend grounding flag

    The reporter can flag a squawk as recommending grounding.

  • Required written resolution

    Closing a squawk requires recording what was done; the resolution appears in the close notification email and permanently on the squawk detail.

  • Monitoring badge

    A blue badge for informational, watch-this items, separate from open/closed status. The Squawk Cycle Time report and the open-squawk count behind the executive summary leave monitoring squawks out of their open counts and days-to-close; elsewhere (the Fleet Status card, the flight cards, the Squawks page), they still count as open.

  • Crew comments

    Additional crew commentary can be added to a squawk.

  • Squawk notifications

    In-app, email, and SMS notifications on open and close, with per-aircraft muting.

  • Maintenance blocks

    Admin-only calendar blocks, shown in red, with a description and comments; they block availability.

  • Due-date schedules

    One-off maintenance items due on a specific date, such as an annual, transponder, ELT, or pitot-static check.

  • Recurring schedules

    Recurring items scheduled by calendar months or by tach hours, such as a 100-hour inspection, oil changes, or TBO, each showing a visual progress bar toward its due point.

  • Fleet Status card

    A dashboard card showing per-aircraft status, open squawks, and grounding warnings; warnings also appear on the current flight card.

    Rates are dated, so historical and future rate changes coexist; one rate per aircraft per effective date.

  • Wet or dry rates

    Each aircraft is configured as WET (fuel included) or DRY.

  • Hobbs or tach billing

    Choose which meter drives the charge, per aircraft.

  • Fuel reimbursement

    Wet aircraft support GALLONS (a per-gallon rate) or ACTUAL (receipt-based) reimbursement.

  • Automatic charges from flights

    A completed flight generates one billing entry from the effective rate and the difference between the start and end meter readings, with a description auto-formatted like 'N12345 - 2.30 hrs HOBBS @ $145.00/hr'; enforced one entry per flight.

  • Chart of accounts

    Every entry carries a category (Flight Time, Dues, or General), auto-assigned for flight and dues entries, with manual entries defaulting to General and an admin override available.

  • Debit/credit ledger

    Each entry carries a debit and/or credit tied to a member, and optionally to an aircraft, rate, and flight log.

  • Filtering & totals

    Filter by aircraft, member, category, and date range, with a totals row.

  • QuickBooks Online export

    Billing entries export as CSV in QuickBooks Online invoice format, mapping category to product (Aircraft Rental / Dues / Other).

Member Payments & Dues

Members pay their own balance via Stripe Connect or admin-posted instructions, with monthly dues that never charge a member twice for the same month, and configurable past-due warnings.

  • Stripe Connect Standard

    Clubs connect their own Stripe account; direct charges route through it.

  • Automatic ledger posting

    When a member completes checkout, Stripe reports it back and a billing credit is posted against that payment, flagged with an 'Online' badge. A repeated report never posts the credit twice.

  • Optional fee pass-through

    Surcharge ACH and/or card payments to recover processing cost: make-me-whole math for cards, which lands exactly, and a capped percentage for ACH, which is close but not exact. The ledger credit is always the original net amount, with the surcharge existing only in the Stripe session.

  • Payment instructions

    Admin-authored rich text (Zelle, Venmo, check) shown on every member's Charges tab.

  • Monthly dues

    An org-wide flat fee; an admin runs dues billing manually, picks a transaction date, and checks off members rather than having it charge automatically.

  • Past-due warnings

    Warn by days-overdue and/or dollar threshold, with partial payments applied to the oldest charges first; the alert appears on the member's own dashboard, linking to their charges.

  • Monthly Executive Summary

    An AI-authored written briefing over the trailing three months covering fleet activity, membership, maintenance with per-aircraft commentary, and finances. The figures are calculated exactly rather than written by the model, which supplies only the narrative around them. Stored once generated and regenerable after data corrections.

  • Aircraft Utilization

    Hours flown, flight counts, downtime, and realized dollars per hour for each aircraft over the period.

  • Reservation Demand

    A heatmap of reservation starts by day of week and hour, filterable by aircraft.

  • Booking Lead Time

    Average days between booking and flight, per aircraft.

  • Member Activity

    Reservations, completed flights, and hours flown per member.

  • Club events

    Fly-ins, safety nights, pancake breakfasts, ground school, and member meetings, with a title, description, location, start/end time, and an all-day option.

    Attach a photo to an event; it's stored with a permanent public URL usable in-app, in emails, and on other sites.

  • RSVP / registration

    Members register for an event with an optional comment.

Notifications & Communications

    Any member can send a rich-text notification from the notification bell to one member or the whole club; the formatting is limited to a safe set on the way in. Marking it as requiring acknowledgment puts it in front of the recipient as a modal they must clear before continuing, and blocks deletion until they do.

Data Portability

Full CSV import and export of the club's core records, plus a CSV export on every report. Nothing is locked in.

  • CSV import

    Import users (contact details, certificates, and currency dates), reservations (including historical), squawks, and maintenance schedules, with flexible date handling and everything checked for errors before anything is saved. Imported members arrive with the Member role; officer roles are assigned afterwards in Centerline.

  • CSV export

    Export the same four kinds of record for your own organization, with linked records shown by name rather than by ID, and nothing left out.

  • Per-report CSV export

    Each of the nine data reports exports its current filtered rows to CSV. The Monthly Executive Summary is a written briefing and has no CSV export.
