Reserving Equipment

Overview

Clubs share more than aircraft. A spare headset, a portable ADS-B receiver, the bicycle for the ride between the ramp and the terminal — these get borrowed, forgotten, and argued over just like the airplane does. Centerline lets your club list this equipment and reserve it on the same calendar as the fleet, so everyone can see who has the headset this Saturday and whether the bike will be back in time.

Equipment bookings use the same conflict and backup mechanics as aircraft. Every active member can reserve any item; there are no checkout requirements, currency rules, or billing attached to equipment.

Booking Equipment with a Flight

The most common case: you're flying and want a headset for the passenger.

  1. Start a reservation as usual from the calendar.
  2. Tick the items you need in the Equipment picker on the Reservation tab. It only appears if your club has set up equipment.
  3. Create the reservation — each item is booked for the same window as the flight, and the confirmation message tells you whether each one was reserved outright or as a backup.

Equipment booked this way is tied to the flight:

  • Move the flight, and the equipment moves with it.
  • Cancel or delete the flight, and the equipment is released. The cancel dialog lists what will be let go.
  • End the flight early, and the equipment booking ends with it, so the item is free for the next member.
  • If the flight is a backup, its equipment is held as backup too, even if the item itself is free. It is only confirmed once the flight is.

To change which items go with a flight, edit the flight and tick or untick them in the same picker.

Booking Equipment on its Own

You don't need to be flying to borrow the bike.

  1. Open the calendar and click New Reservation (or click a time slot).
  2. Choose the Equipment tab. If you have the calendar filtered to a single item, the dialog opens on this tab with the item pre-selected.
  3. Pick the item, set the window, add a note if you like, and create the reservation.

A standalone booking shows on the calendar in violet, leading with the item's icon. Your own equipment bookings for the day also appear beside your next flight on the dashboard.

Backups and Conflicts

If someone already holds the item for part of your window, your booking becomes a backup, shown in orange. Backups are promoted automatically, oldest first, when the conflicting booking is cancelled, shortened, or moved — the same chain described in Backup Reservations. You'll get an in-app notification when your backup is confirmed.

You can't hold the same item twice for overlapping times; a second booking would only queue you behind yourself.

Editing and Cancelling

Click an equipment booking on the calendar to open it. You can change the item, the window, and your notes, or cancel the booking. Booking administrators can do the same for any member's booking and reassign it to someone else; the member is notified when an admin changes or cancels their booking.

If you edit a booking that was made with a flight — changing its window, item, or holder — it stands on its own from then on and no longer follows the flight. Changing only the notes keeps the link.

Reminders and Notifications

Equipment notifications are in-app only. You're told when a booking is created, changed by an admin, cancelled, promoted from backup, or ended early with your flight. A standalone booking also gets a reminder about a day before it starts, just like a flight; a booking made with a flight is listed in the flight's own reminder, in the app, by email and by text.

For Administrators

Account owners manage the list under Setup → Equipment: name, description, an optional photo, and an icon from the built-in set. Items can be reordered, which sets their order in every picker.

Retiring an item hides it from every picker and cancels its upcoming bookings; each holder is notified that the equipment was retired. Past bookings are kept for the record. A retired item can be restored from the same list if it comes back into service.

Tips

  • Book the headset with the flight rather than separately — it then follows every change you make to the flight, and you can't forget to release it.
  • Check the confirmation message after booking a flight with equipment: an item that was already taken is noted there as a backup.
  • Use the filter to view one aircraft and the equipment you'll take, and nothing else, when planning a trip.
