Certificates & Ratings

Overview

Aviation is built on currency. A pilot with an expired medical, an overdue flight review, or a lapsed club checkout is not legally or club-authorized to fly, and flying anyway puts both the pilot and the club at risk. Centerline's certificate and ratings tracking exists to take the mental overhead out of staying current — the system knows when things expire and will remind you well before the deadline.

Beyond the individual safety benefit, having every member's certificates on record gives club administrators a single place to verify that their fleet is being flown by qualified, current pilots. Many clubs require proof of a valid medical and a current club checkout before a member can make reservations. Keeping this information up to date in your profile keeps the process smooth and keeps your club in compliance.

Accessing Certificates & Ratings

Go to your Profile and select the Certificates & Ratings tab. The tab is organized into four cards: Certificate Information, Expiration Dates, Class Ratings, and Flight Instruction.

Certificate Information

The Certificate Information card records your formal pilot credentials:

  • Pilot Certificate Number — The FAA certificate number printed on your airman certificate
  • AOPA Number — Your AOPA membership number, if applicable
  • Certificate Date — The date your pilot certificate was issued (not the same as a rating checkride date)
  • Member Number — Your club's internal membership ID, if your organization assigns one

To update this information, fill in the relevant fields and click Save.

Expiration Dates

The Expiration Dates card is where you track the three most critical currency dates:

  • Medical Certificate — Enter the expiration date printed on your medical certificate. If you hold a BasicMed, your club may treat this differently — check with your account owner.
  • BFR (Flight Review) — The date your current biennial flight review expires. Per FAR 61.56, you need a flight review with a CFI every 24 calendar months to act as pilot in command.
  • Club Review — Your organization's own checkout or proficiency review expiration. Many clubs require periodic dual instruction or a check flight with a club CFI, separate from the FAA's BFR requirement.

Reminder Lead Time: Below the expiration dates you can set how many weeks in advance you want to receive reminders for each certificate. Setting a reminder of 4–8 weeks gives you time to schedule an appointment with a CFI or an AME without rushing.

To update expiration dates:

  1. Click into the date field for the certificate you want to update
  2. Enter or select the expiration date
  3. Click Save — Centerline will immediately recalculate when your next reminder should be sent

Class Ratings

The Class Ratings card lets you record the ratings endorsed on your certificate:

  • Single Engine Land
  • Single Engine Sea
  • Single Engine Instrument
  • Multi-Engine Land
  • Multi-Engine Sea
  • Multi-Engine Instrument

Check the boxes that match your actual ratings. This information helps club administrators understand your qualifications at a glance and may be used to determine which aircraft you are eligible to fly.

To update: check or uncheck the relevant boxes and click Save.

Reminders

Centerline's daily cron job checks expiration dates every morning. When a certificate is within your configured reminder window, you will receive a notification — by email, by SMS, or both, depending on your notification preferences. The reminder tells you which certificate is expiring and when, so you know exactly what needs attention.

Your organization may also have configured a grace period for medical certificates. If your medical is expired but within the grace period, you may still be able to make reservations. Once the grace period passes, the system will block new bookings until you update your expiration date. Check with your account owner to understand your club's specific policy.

Tips

  • Update expiration dates as soon as you renew — entering the new date resets the reminder clock immediately.
  • Set your reminder lead time generously. AME appointments and CFI availability can be hard to schedule last-minute. Four to six weeks is a good starting point for medicals; two to four weeks for BFRs.
  • If you complete a flight review that also satisfies your club review (for example, a dual flight with a club CFI), update both expiration dates at the same time.
  • Your organization may have currency requirements beyond the FAA minimums — check with your Account Owner or a club administrator for details.
  • If a certificate date shows as expired in your profile but you have renewed, update it right away. Expired certificates may prevent you from making new reservations depending on your club's settings.
